Machine Card is a feature in Ideagen Machine Safety that gives machine operators instant access to a machine's safety status and lets them start or continue a pre-start check in just a few taps. Every machine in the platform has its own dedicated card shareable via QR code, and accessible in seconds from any device.
1. What information does a Machine Card show?
Each Machine Card displays the following details about a machine at a glance:
- Machine name (Make & Model), type, and key identifiers
- Company and owner details
- Current safety status, based on the most recent pre-start check
- An action button that updates automatically to match the current safety status
2. What is a machine safety status?
The Machine Card displays the machine's current operational status based on the most recent pre-start check. The status updates in real time and determines which action button is shown.

| Okay to operate | The most recent pre-start check was completed with no issues identified. The machine is safe to use. |
| Okay to operate, but with issues | The most recent pre-start check was completed, but non-critical issues were recorded. The machine can be operated, but issues should be reviewed. |
| Do not operate – critical issues | The most recent pre-start check identified critical issues. The machine must not be operated until these are resolved. |
| No recent pre-start completed today | No pre-start check has been completed for this machine today. |
| Pre-start in progress | A pre-start check for this machine is currently underway. |
3. How can I access a Machine Card from the Machines list?
You can open any machine's card directly from the Machines list within the Machine Safety web app.
To access a card:
- Open the Machines list.
- Locate the machine you want to view.
- Open the machine's Actions menu.
- Select View Machine Card.
4. How can I access a Machine Card via QR code?
No app or account is required to open a Machine Card by scanning a QR code. Anyone on-site can scan the machine's QR code sticker using their phone camera.
When a QR code sticker has been generated and attached to a machine, anyone on-site can scan it with their phone camera to open the Machine Card immediately. The Machine Card opens in the device's browser, no login, no app download, and no searching required.
To generate and print QR code stickers, you can get and share a machine's QR code or download QR codes in bulk.
5. How can I manage pre-start checks from the Card?
The Machine Card's primary call-to-action updates automatically based on the machine's current safety status, so you always see the most relevant action. The following pre-start actions are available:
- New Pre-Start - Launches a new pre-start check for this machine.
- Continue Pre-Start - Resumes your own incomplete pre-start check.
- View Report - Opens the most recently completed pre-start checklist.
Clicking the button takes you directly into the correct workflow for that machine - no searching, no selecting from a list.
6. How can I get a machine's QR code from the card?
To get a machine QR code:
- Open the Machine Card for the machine.
- Click Get QR Code to display the QR code on screen.
- Click Download.
The QR code is saved as a PNG image and includes the machine number and identifiers for easy identification without scanning.
To share the QR code with a colleague:
- On mobile, use the Share button to send via your device's share options.
- On desktop, use Copy Link to copy the Machine Card URL to your clipboard.For customers with large fleets, Ideagen can custom-print durable, high-quality QR code labels on your behalf. Contact your Ideagen administrator for more information.
Note
Downloaded QR code images are suitable for printing on machine labels. Each image includes the machine number and key identifiers so the machine can be identified without scanning the code.
7. How can I download QR codes from the cards in bulk?
If you have a large fleet and need to bulk download QR codes contact us via the support portal and we'll do this for you.
8. How do I add a machine to favourites form the card?
To add a machine to favourites:
- Open the Machine Card for the machine you want to save.
- Click the Favourites icon on the card.
The machine will appear in your Favourites list for quicker access next time.
